Payment, Minimum Enrollment, and Cancellation Policies

Payment:

If you are interested in booking an adventure with our company please fill out a booking request form on the relevant adventure page. Starry Summit Mountain Adventures and Media Ltd. (SSMA) staff will be in touch and go over trip equipment, costs, and logistics. Inquiring about an adventure is commitment-free. Please see your provided pdf itinerary for information on confirmation deposits and when full-payment is due (typically a confirmation deposit of $500 or up to 30% of the total booking cost is required to reserve your space, this can vary based upon hut and helicopter reservation fees etc., with the full balance being due 90 days prior to your adventure, please see your pdf itinerary for details).

A PayPal invoice will be sent to the email provided to facilitate payment. We also accept payment in BTC, if interested in this method please let us know in the booking request form.

Example 1: Booking An Adventure

Bob is interested in backpacking on the North Boundary Trail; he fills out the booking request form and describes his previous backpacking experience, which of the provided dates he would be interested in, and that both he and his wife Sally would like to enroll in the adventure. SSMA lead guide Ben gets in touch with Bob and Sally, describe the adventure in detail, what equipment would be provided and what they would be expected to bring, costs, and booking policies. Bob and Sally think about the trip for a few days and decide to make a booking. Ben emails an invoice to Bob for the full cost of the trip, after receiving payment Bob and Sally’s booking is confirmed.

Minimum Enrollment:

Each adventure has a minimum number of guests required for the trip to run (the minimum value is listed beside the dates on each adventure page). Programs are assessed for enrollment 90 days before the departure date.

If a given program is below the minimum threshold value, enrolled guests will be given the option of paying an under-enrollment offset fee to continue with the adventure. Guests have until 60 days before the departure date to decide if they want to pay the offset fee, if more guests book during this time exceeding the minimum requirement the trip runs as scheduled and no offset fee is required.

If at 60 days prior to the start date, the adventure is still below the minimum values and guests elect not to pay the offset fee the adventure will be cancelled and guests will receive a full refund (minus a $100.00 booking fee).

Example 1: An Adventure Exceeds Minimum Enrollment

Bob and Sally have confirmed their booking for backpacking on the North Boundary Trail (which was described to have a minimum enrollment of 3 guests). They are scheduled to leave for their adventure on September 1st. On June 3’rd (90 days before the start date) SSMA lead guide Ben sends Bob an email confirming that there are 4 guests booked for the trip and that the trip will go as scheduled.

Example 2: Program Does Not Have Required Enrollment and Guests Pay Offset

Bob and Sally have confirmed their booking for backpacking on the North Boundary Trail (which was described to have a minimum enrollment of 3 guests). They are scheduled to leave for their adventure on September 1st. On June 3’rd (90 days before the start date) SSMA lead guide Ben sends Bob an email stating that they are the only 2 guests booked for the trip. Ben informs Bob that to run the trip either someone else would have to book within the next 60 days, or they would need to pay an additional offset fee. Bob decides to pay the additional offset fee. The trip goes ahead as scheduled with Bob and Sally as the only guests.

Example 3: Program Does Not Have Required Enrollment and Guests Do Not Pay Offset

Bob and Sally have confirmed their booking for backpacking on the North Boundary Trail (which was described to have a minimum enrollment of 3 guests). They are scheduled to leave for their adventure on September 1st. On June 3’rd (90 days before the start date) SSMA lead guide Ben sends Bob an email stating that they are the only 2 guests booked for the trip. Ben informs Bob that to run the trip either someone else would have to book within the next 60 days, or they would need to pay an additional offset fee. Bob waits until 60 days prior to the trip start date and the trip is still below minimum enrollment levels. Bob declines to pay the under-enrollment offset fee. Ben emails Bob that SSMA will need to cancel the trip due to under-enrollment and sends Bob a full refund (minus a $100.00 booking fee).

Cancellation and Refunds:

Guests are allowed to cancel their booking and receive a full refund (minus a $100.00 booking fee) up to 90 days before the start of an adventure. If Guests cancel between 89 and 60 days prior to the start date they are entitled to receive a 75% refund. If Guests cancel between 59 and 30 days prior to the start date they are entitled to receive a 50% refund. No refunds are granted if Guests cancel less than 30 days before the start of an adventure. If a program has to be cancelled by Starry Summit Mountain Adventures and Media Ltd. for any reason (including wildfire, area closures, etc.) guests will be given a full refund or offered to reschedule their adventure at no additional charge.

Please note, if your adventure involves booking of a backcountry lodge or helicopter travel a portion of your booking fee may be non-refundable. Please read your booking itinerary carefully and ask us if you have any questions.

We strongly recommend guests purchase Travel Insurance to provide coverage in case of trip cancellation, or in the event of a medical emergency during the trip. While we do not endorse any specific insurance providers common companies operating in Canada include (Tugo, Blue Cross, etc.).

Example 1: Guests Cancel More Than 90 Days Prior to the Start Date

Bob and Sally have confirmed their booking for backpacking on the North Boundary Trail. They are scheduled to leave for their adventure on September 1st. On June 1’st (92 days before the start date) Bob informs Starry Summit Mountain Adventures and Media Ltd. that he has to cancel his booking. Bob and Sally receive a full refund (minus a $100.00 booking fee).

Example 2: Guests Cancel Between 89 and 60 Days Prior to the Start Date

Bob and Sally have confirmed their booking for backpacking on the North Boundary Trail. They are scheduled to leave for their adventure on September 1st. On June 4’th (89 days before the start date) Bob informs Starry Summit Mountain Adventures and Media Ltd. that he has to cancel his booking. Bob and Sally receive a 75% refund.

Example 3: Guests Cancel Between 59 and 30 Days Prior to the Start Date

Bob and Sally have confirmed their booking for backpacking on the North Boundary Trail. They are scheduled to leave for their adventure on September 1st. On July 4’th (59 days before the start date) Bob informs Starry Summit Mountain Adventures and Media Ltd. that he has to cancel his booking. Bob and Sally receive a 50% refund.

Example 4: Guests Cancel Less Than 30 Days Prior to the Start Date

Bob and Sally have confirmed their booking for backpacking on the North Boundary Trail. They are scheduled to leave for their adventure on September 1st. On August 3’rd (29 days before the start date) Bob informs Starry Summit Mountain Adventures and Media Ltd. that he has to cancel his booking. Bob and Sally do note receive any refund.

Example 5: Company Cancels Trip For Any Reason At Any Time

Bob and Sally have confirmed their booking for backpacking on the North Boundary Trail. They are scheduled to leave for their adventure on September 1st. Starry Summit Mountain Adventures and Media Ltd. informs Bob that there is a wildfire along the North Boundary Trail and that their trip will either have to be rescheduled, relocated, or cancelled. If the trip is cancelled Bob and Sally receive a full refund. If Bob and Sally elect to reschedule or relocate their trip they will not pay any additional fee.
